Privacy notice

What we hold, why we hold it, who else sees it and how to get rid of it. Written the way the rest of the product is written, because a privacy notice nobody can read protects nobody.

Who this notice is about

Two different sets of people, and it matters which one you are.

  • Installers. You have an account, you pay us, and we hold your details and your business.
  • Homeowners. You have not signed up for anything. A pack came through your door because a local installer used us, and the only thing we know about you is the address of the house you have just bought.

What we hold about you, the installer

The things you type in, and the things the product records while you use it.

  • Your name, email address and password, held hashed.
  • Your business: its name, trade, brand colour, logo, phone number, email address, website, the areas you cover and the sign off you want printed.
  • Photographs of rooms you have finished, and photographs and names of products you fit, where you upload them.
  • Your subscription status and your allowance. Card details are handled by Stripe and never reach us.
  • The jobs you have run: which listings, when, which designs, and what came back.
  • Ordinary server logs, so we can tell whether something is broken.

What we hold about a property

When you paste a listing link, we read the page the portal has published and keep what the job needs.

  • The property address and postcode, the asking price, the selling agent’s name and the listing reference.
  • The listing photographs and floorplans, downloaded and held on our private storage.
  • What we worked out from them: which photograph is the kitchen, and the room size read off the floorplan.
  • The renders drawn from that photograph, and the PDFs composed from those renders.

We do not hold the name of whoever bought the house, because we do not know it and never ask. Nothing is addressed to a named person: a pack is addressed to The Homeowner at a property address.

Listing photographs are never republished. They are shown to the installer whose job it is, handed to the drawing service as the reference, and go nowhere else: not onto a pack, not onto the share page, not onto this website.

Why we are allowed to hold it

For installers: because we have a contract with you and cannot run your account without it, and because we have a legitimate interest in keeping the service working and secure. [Review by a solicitor before launch]

For property data: because we have a legitimate interest in providing the service an installer has asked for, applied to information a portal has published on a public page. Where any of it counts as personal data, the balancing test and the wording of it are exactly the part a solicitor has to sign off. [Review by a solicitor before launch]

Who else sees it

A short list, and every one of them is doing a job for us rather than buying anything.

OpenAI
Reads the listing photographs to label the rooms and to measure the floorplan, and draws the renders from the chosen photograph.
ScrapingBee
Fetches the listing page from the portal on our behalf.
Stripe
Takes the subscription payment. Card details go to Stripe and never to us.
Stannp
Would print and post a pack. Not switched on today, and no pack has been sent through it.
Our hosting and email providers
Run the servers, the database and the account emails.

We never sell anything to anybody, and we never pass an installer’s customer, or a homeowner’s address, to another installer.

Some of these providers are outside the UK, and the transfer terms we rely on for each of them are the second thing a solicitor has to check. [Review by a solicitor before launch]

Where it is kept, and for how long

  • Listing photographs and floorplans are kept on private storage that is not reachable from the web without being signed in.
  • The renders and the composed pack stay while the account does, because an installer needs to be able to reprint a pack they have paid for.
  • Close your account and we delete the account, the business, the uploads and the jobs. Records we have to keep for tax and accounting are kept for as long as the law says and no longer. [Review by a solicitor before launch]

What you can ask us to do

You can ask for a copy of what we hold, ask us to correct it, ask us to delete it, ask us to stop doing something with it, or object to us using it at all. Email privacy@onyourpatch.com and we will come back to you within a month.

There is nothing to pay for asking, and asking never affects your account.

If a pack came through your door

The installer whose name is on it is the person to speak to about the kitchen. If you want the address taken off our system so nothing else is ever produced for it, email privacy@onyourpatch.com with the address and we will do it, and it stays on a suppression list so it cannot come back.

The web page behind the code on the pack has an address nobody can guess and is kept out of every search engine, by header and by tag. Nothing about your house is findable by anybody who was not handed the pack.

Cookies

This website sets the cookies the application needs to work: one that keeps you signed in and one that protects forms from being submitted by somebody else. There is no advertising network on this site, no tracking pixel and no analytics that follows you anywhere else. [Review by a solicitor before launch]

Complaints

Tell us first, at privacy@onyourpatch.com, and we will try to sort it. If you are not happy with how we have handled it you can complain to the Information Commissioner’s Office at ico.org.uk, which is the UK regulator for this.

Changes to this notice

When this changes in a way that matters we will say so on the site and email account holders. The date at the top is the date of the version you are reading.
